Statement privacy notice

This notice explains how documents and information are handled when you use our lending readiness service.

Information you provide

We collect the business and contact details you enter, uploaded merchant statements, extracted statement figures, corrections you confirm, and the resulting readiness report and preliminary funding estimate. Statements may contain account identifiers and other confidential business information. Only upload documents you are authorized to share.

Automated statement reading

When you authorize automated processing and select “Create my readiness report,” your uploaded statements are sent to OpenAI through its API to extract statement figures. This happens before you submit the completed review. OpenAI is a service provider used by Proper Pay Solutions; the documents are not processed solely on a Proper Pay Solutions server.

We temporarily store extracted results and file fingerprints to support your review and reuse a recent analysis. Automated extraction can make mistakes. Please check the figures against your original statements before confirming them.

OpenAI’s processing is subject to its applicable data-handling policies. Read OpenAI’s API data-handling information.

Storage and email delivery

When you submit, your original statements, contact details, confirmed figures, and any generated report are stored for review by Proper Pay Solutions. The website uses hosted storage and email service providers. Its email provider, Resend, delivers the original statements and any generated PDF report as attachments to our designated review inbox. Copies may also be retained by the receiving email service and any forwarding destination configured by Proper Pay Solutions.

Human review and lender sharing

Proper Pay Solutions’ executive leadership reviews the information to discuss your needs and identify suitable funding options. Uploading statements does not submit a loan application, authorize a credit pull, or automatically distribute documents to lenders. Separate permission is required before documents are sent to a lender.

Your choices and questions

Automated statement reading and a confirmed readiness report are required for online submission. If you do not wish to use automated processing, do not select the authorization checkbox or request a report. Contact Proper Pay Solutions to discuss other ways to provide information.
